Before you start
- 1Have a government-issued ID ready, such as a passport, national identity card, or driver's licence.
- 2Have your professional registration or practice number with your council ready, for example HPCSA, HPCNA, or MDCN.
- 3Have your certificates and licences ready, including council registration, annual practising licence, qualification or degree, and any others that apply to you.
- 4Have a clear headshot of yourself ready.
- 5Have a photo of your handwritten signature ready.
- 6Have your banking details ready for payouts: bank name, account number, branch code, account type, and account holder name.
- 7Photos and documents can be taken with your camera or chosen from your gallery, so you can prepare them in advance if you prefer.
How the flow works
- 1The profile flow has 10 steps, with a progress ring at the top of the screen showing where you are, for example 3/10.
- 2Tap Save & Continue to save the current step and move to the next one. On the last step the button reads Finish.
- 3Tap Back to return to the previous step.
- 4Tap the checklist icon in the top-right corner to see all steps at a glance, and tap any step to jump straight to it.
- 5You can leave and come back. Every step you save is kept, and the app takes you to the first step that still needs attention.
- 6You must complete a step before you can continue past it. If something is missing, the app tells you what to fix.
Step 1: Personal Details
- 1Enter your full legal name, exactly as it appears on your ID, not a nickname or your email.
- 2Enter your mobile number, including your country code, for example +264...
- 3Enter your date of birth, used for verification and eligibility checks.
- 4Your email address is shown here but cannot be changed on this screen, because it is used to sign in to your account.
Step 2: Profile Photo
- 1Tap Add Photo to take a new photo or upload one from your gallery.
- 2Make sure your face is fully visible. This is the photo patients see.
Step 3: Residence Details
- 1Enter your country of residence.
- 2Enter your city or town, as it appears in official or postal records.
- 3Enter your street address, including unit, floor, or building if applicable.
- 4Enter your postal or ZIP code.
Step 4: Identity Verification
- 1Choose your document type: Passport, National Identity Card, or Driver's Licence.
- 2Upload the front, and the back as well if your document requires it.
- 3Lay the document flat on a dark, plain surface and fit all four corners inside the frame.
- 4Make sure the text is sharp and readable, and avoid glare, shadows, and flash reflections. Don't crop or cover any part of the ID.
- 5Your ID is then reviewed by our team.
Step 5: Professional Profile
- 1Enter your practice or registration number, your official number with the council.
- 2Enter your practice address, your clinic or practice location.
- 3Enter your years of experience, the full years in clinical practice since qualifying, from 0 to 60.
- 4Write a short bio for patients, between 20 and 300 characters.
- 5Select your specialties. The first one you pick is your primary specialty.
- 6Select your spoken languages.
- 7Select your consultation modes: Online, In-Person, and/or Home Visit.
- 8Set your availability: the days and time slots you're available for appointments. Each slot's end time must be after its start time.
Step 6: Certificates & Licenses
- 1Add your valid professional certificates and licences. Available certificate types adapt to your country of residence and may include Health Profession Council Registration, Annual Practising or Retention licence, Degree, Qualification or Diploma, Internship or Housemanship Completion, Community Service Completion (South Africa), Specialist Registration, Fellowship Certificate, Professional Indemnity Cover, Work Permit (if applicable), Certificate of Good Standing, or Other.
- 2For each certificate, provide the issuing country, council or authority, registration or licence number, and the relevant dates (issue date and valid-until date). Make sure documents are current and legible.
- 3Each certificate is reviewed individually and can be Pending, Approved, Under Manual Review, or Rejected.
Step 7: Signature
- 1Upload a photo of your handwritten signature.
- 2This signature appears on the prescriptions and sick notes you issue, so make sure it's clear and on a plain background.
Step 8: Payout & Banking Info
- 1Enter your bank name.
- 2Enter your account number (at least 8 digits).
- 3Enter your branch code.
- 4Enter your account type.
- 5Enter your account holder name.
Step 9: Terms & Legal Agreement
- 1Review our terms and legal agreements.
- 2Accept them to continue. You must accept the terms to complete your profile.
Step 10: App Permissions
- 1Enable Location so we can match you with nearby requests where relevant.
- 2Enable Notifications so you receive consultation requests and updates.
- 3Both should be enabled to make sure you don't miss incoming requests.
- 4Tap Finish. You'll see a confirmation that your profile is complete and under review.
What happens after you submit
- 1Once you finish, your profile and the documents you uploaded go to our team for review.
- 2Verification items such as your ID and each certificate show a status: Pending (submitted and waiting to be reviewed), Under Manual Review (being checked manually by our team), Approved (verified and accepted, nothing more to do), or Rejected (not accepted, a reason is shown so you know what to fix).
- 3Check these statuses any time from the profile flow, either on the step itself or via the checklist icon in the top-right corner (green for done or approved, orange for pending, blue for under manual review, red for rejected).
- 4If a document is rejected, open that step, read the reason shown, and upload a corrected version. It will go back into review.

Where your consultations appear
- 1The Home tab's Upcoming Appointments card shows your most relevant appointment: the one in progress if any, otherwise the soonest scheduled appointment.
- 2The History tab lists all of your consultations. Use the filter bar to narrow by status: All, Requested, Pending, Upcoming, Completed, Cancelled, or Rejected. Pull down to refresh, and scroll to load more.
- 3You receive a push notification for new requests and for incoming calls. An online consultation can ring your device even when the app is closed, so make sure notifications are enabled.
Consultation statuses
- 1Requested: a patient has requested a consultation.
- 2Pending Approval: waiting for you to accept or reject the request.
- 3Upcoming: scheduled and confirmed, ready to start at the appointment time.
- 4In Progress: the consultation is currently active.
- 5Completed: the consultation has finished.
- 6Cancelled: cancelled by you or the patient, with a reason shown.
- 7No-Show: the patient did not attend.
- 8Rejected: you declined the request, with a reason shown.
Accepting or rejecting a request
- 1When a consultation is Pending Approval, tap Accept to confirm it. It moves to Upcoming.
- 2Tap Reject to decline the request. A sheet opens asking for a reason, which the patient sees, so enter a short explanation before confirming.
Starting and running the video call
- 1Once a consultation is Upcoming or In Progress, tap Call Patient to start the video consultation. This button appears only for online and home-visit consultations, and is hidden for in-clinic appointments, which are seen in person.
- 2Tap View Symptoms to open the patient's reported symptoms and the AI assessment.
- 3Tap Open Notes to open the consultation notes form.
- 4Tap Cancel to cancel the consultation. A sheet asks for a reason before confirming.
- 5Tap Open WhatsApp to open a WhatsApp chat with the patient's number, useful for quick coordination.
During the call
- 1Tapping Call Patient opens the video consultation and connects you. While the call is starting you see a short starting, please wait message.
- 2Use the on-screen controls to mute and unmute your microphone.
- 3Turn your camera on and off, and switch between the front and back camera.
- 4Tap Hang up to end the call.
- 5If your connection drops and cannot recover, the app tells you and returns you to the previous screen. When the call ends, the app takes you straight to the Consultation Notes form.
- 6For in-person and home visits, in-clinic consultations do not use video. See the patient in person, then document the visit using the same notes form. For completed consultations you can also tap Call Patient to place a normal phone call, or use Open WhatsApp.
Submitting consultation notes
- 1The Consultation Notes form opens automatically after a video call, and you can also open it any time from a consultation's Open Notes button.
- 2Doctor's Notes (required): a detailed record of the consultation, covering symptoms, diagnosis, treatment plan, and anything else relevant. This must be at least 50 characters.
- 3Vital Signs (optional): record the patient's Systolic (mmHg), Diastolic (mmHg), and Blood Sugar (mmol/L) where you measured them.
- 4Answer whether the patient needs a sick note. If yes, add the sick note details, an Issue Date, and an Expiry Date. The expiry date must be in the future.
- 5Answer whether you'd like to add prescriptions. If yes, tap Add Medication to add one or more medicines, entering the Medication, Dosage, Frequency, Duration, and Instructions for each.
- 6Tap Submit to save. You see a confirmation, and the consultation list refreshes.
- 7Your handwritten signature from your profile is applied to the prescriptions and sick notes you issue, so keep it up to date.
After a completed consultation
- 1Tap Call Patient to place a normal phone call to the patient.
- 2Tap Open Details to open the full consultation summary.
- 3Tap Edit Notes to reopen the notes form so you can update your notes, vital signs, sick note, or prescriptions.
- 4Tap Create Referral to refer the patient onward.
The consultation details view
- 1Open Details shows metadata: status, date and time, duration, type, location, price (or Paid by voucher), and the visit address for home visits.
- 2Documents: a shortcut to view and manage attachments.
- 3Symptom Checker: the patient's reported symptoms, a summary, and the AI assessment.
- 4Doctor's Notes.
- 5Sick Note: shows whether it is Active or Expired, with issue and expiry dates.
- 6Prescriptions: each medicine with its dosage, frequency, duration, and instructions.
- 7Feedback: the patient's rating and comments, if they left any.
- 8Referrals: any referrals linked to this consultation.
Consultation documents
- 1From a consultation's details, open Documents to attach files such as blood results, scans, and lab reports.
- 2Tap Upload document, choose a Document Type (Blood Results, X-ray, Scan, Lab Report, Prescription, or Other), add an optional description, and pick a file.
- 3Files can be taken with your camera, chosen from your gallery, or selected as a PDF or image from your device.
- 4Tap a document to open it. Use the delete icon to remove one you no longer need.
Sending a referral
- 1You can refer a patient to another provider, a clinic, or an external practice.
- 2From a completed consultation, tap Create Referral.
- 3Choose the Referral Type: Internal (another PatientCare provider), Clinic, or External.
- 4Choose the Urgency: Routine, Urgent, or Emergency, which helps the receiving provider prioritize.
- 5For an Internal referral, choose a Specialty, then select a Provider (doctor or nurse) from the matching providers.
- 6For a Clinic referral, search for a clinic by name, select it, and optionally set a specialty. The patient can then book with that clinic.
- 7For an External referral, choose a specialty, enter the Provider Name (required), and add contact details (phone, email, or address).
- 8Enter the Reason for Referral (required): the clinical reason, including relevant symptoms and findings.
- 9Optionally add Additional Notes: anything else that helps the receiving provider.
- 10Tap Send Referral. You see a confirmation when it has been sent.
The referrals hub
- 1The Referrals screen has two tabs: Received (referrals other providers have sent to you) and Sent (referrals you have raised).
- 2Each referral shows the patient, who it is to or from, its urgency, and its status (Pending, Accepted, Acknowledged, or Rejected).
- 3Tap a referral to see the full details.
Wallet and payouts
See your consultation earnings, request a payout to your bank account, and track your transaction history.

The balance card
- 1At the top of the Wallet tab, see your country and its flag, which sets the currency your balance is shown in.
- 2See your current balance: the amount available to withdraw, in your local currency.
- 3Use the Withdraw Funds button, which is only active when your balance is greater than zero.
- 4Your earnings from completed consultations are added to this balance and appear in your transaction history.
Requesting a payout
- 1On the Wallet tab, tap Withdraw Funds.
- 2A confirmation appears explaining that you are about to withdraw funds from your wallet. Tap Proceed to continue.
- 3The app submits your payout request for your current balance, and you see a Payout Requested confirmation. Your balance and transaction history then refresh.
- 4Your payout is sent to the bank account you set up in the Payout & Banking Info step of your profile (bank name, account number, branch code, account type, and account holder name), so make sure those details are correct.
- 5If a payout request cannot be completed, the app shows an error message and your balance is unchanged. You can try again, and if it keeps failing, contact support.
Transaction history
- 1Below the balance card, Transaction History lists your wallet activity. Use the filter bar to narrow by status: All, Success, Pending, or Failed.
- 2Each transaction shows a title, the date, the amount, and a colored status badge: Success (green, completed), Pending (orange, being processed), or Failed (red, did not go through).
- 3Scroll down to load more, and pull down to refresh the list.
Changing your bank account
- 1Payouts always go to the banking details saved in your profile.
- 2To change where your money lands, update the Payout & Banking Info step in your profile before requesting your next payout.
